A pre-bid walk thru at the facility is currently scheduled for January 13, 2020 starting at 1:00pm EST.  Please plan to meet at the front entrance of the facility.

Owner reserves the right to reject any or all proposals, waive any irregularities therein and accept the proposal, which will best serve Owner’s interest.

ADDENDUM FOR: AE RFP for Oakview Medical Care Facility – New Addition and
Renovation Project.

CLARIFICATION:
Please acknowledge the following addendum on the bid form and include the changes:

A. REVISED RFP DUE DATE / TIME LINE:
1. Revised RFP Due Date: The RFP due date has been extended to January 30, 2020
at 2:00pm. Please submit all responses accordingly per the details within the
RFP by no later than the date and time listed above.

C. REQUEST FOR INFORMATION CLARIFICATION:
1. Question: Is there accurate CAD or Revit files that will be provided for existing
architecture, site, mechanical and electrical conditions for the project? Or will
the facility need to be field verified?
Response: There are no CAD files available currently for the existing facility. We
will be able to provide PDF versions of existing drawings; however, it is

recommended that the A/E complete a field verification of the areas to be
renovated.
2. Question: The budget currently has any breakdown for courtyard, addition and
renovation that can be provided?
Response: The preliminary budget was not broken down into these specific
categories.
3. Question: Is there a scope of work that has been defined for technology that
needs to be upgraded or integrated into the project or is that work to be
programmed in schematics by our consultant.
Response: This will need to be further reviewed and identified as a part of the SD
process. Initial response is that it will be minimal from a design perspective – i.e.
– relocation of existing equipment, data/voice drops, and minor added AV
equipment.
4. Question: Is there a scope of work that has been defined for the kitchen
upgrades that needs to be renovated/upgraded into the project or is that work
to be programmed in schematics by our consultant
Response: This will need to be further reviewed and identified as a part of the SD
process. Initial response is that it will be minimal from a design perspective – i.e.
– new walk in freezer / fridge area and general cosmetic upgrades to the kitchen
flooring/walls.
5. Question: Page 5 of the RFP, Section 3D – Relevant Firm / Team Experience
Summary matrix requests detailing all project your firm has completed in the last
5 years. Are you seeking skilled nursing facility projects only, also additional
relevant healthcare projects?
Response: Please provide both past experiences.
6. Question: Is a topo survey required by the A/E?
Response: No, this will be provided by the owner.
7. Question: Should we assume the project requires site plan submission to the
local covering authority?
Response: Yes.
8. Question: Should we assume that the facility’s electrical service has capacity for
the additions and renovations?
Response: Yes.
9. Question: Is there a generator for the facility? If so, does it serve the entire
facility or only select loads? Also, should we assume that the generator has
capacity for additional load?Response: Yes, there is currently a full building system generator that has excess capacity available. The A/E will need to review the current load and design accordingly as needed for the new additions and renovations.
10. Question: Does the facility have boilers as the source for heating? No steam –
forced air? If so, does it service the entire facility? Also, should we assume that
the boiler(s) have capacity for additional load?
Response: Yes, there are currently several boilers throughout the facility that
serve radiant heat. There is additional capacity available from the boilers,
however the A/E will need to review the current load and design accordingly as
needed for the new additions and renovations.
11. Question: Should we assume separate HVAC systems for the additions, or does
the existing HVAC have capacity for the additional load?
Response: A 3rd party pre‐balance survey will be conducted on the existing HVAC
system. The A/E will be required to evaluate that report and review the
condition of the existing equipment in order to determine if the existing system
has capacity for additional load. If the system cannot handle the added load,
then the A/E should assume it will have to design a HVAC system as a part of the
design process.
12. Question: Will there be a kitchen consultant (either by owner or the architect)
because it looks like the existing kitchen will be repurposes?
Response: The RFP and contract requires that the A/E provide the kitchen
consultant. This consultant will further meet with the owner and design team to
evaluate the design and equipment needs of the kitchen.
13. Question: Is the water service provided by municipal service? Is the sewer
service via a municipality? Is there separate storm water service?
Response: All water, storm, and sewer are City of Ludington. The A/E will need
to work with the City engineers and design a system that meets all requirements.

Response: This cannot be provided at this time due to the AIA software and final
version provided by Owner Legal Comments.

2. Question: If it could prove to save time and money, would you accept three
budgets instead of the four budgets outlined?
Response: Yes, please provide as an alternate option and include in the
clarification section of the RFP.
